1. Who We Are
This privacy notice applies to iwdforall.org (the "Site"), an independent platform operated by: Data Controller: Hilary Williams Contact: iwdforall@gmail.com Website: iwdforall.org (formerly internationalwomensday.news, iwd.news). This Site is not affiliated with IWD Support Ltd or internationalwomensday.com.
Hilary Williams is the sole data controller for personal data processed through this Site. Other individuals who contribute to the Site (including volunteers and editorial team members) may handle personal data as part of their role, but do so under the direction of, and on behalf of, the data controller. They are not independent or joint controllers for the purposes of UK GDPR.
2. What Personal Data We Collect
We collect only the data necessary for the purposes below. Depending on how you interact with the Site, this may include: Your email address and first name, when you sign up for our newsletter or launch notification Name, role/affiliation, photograph, and any biographical or quoted material, if you take part in an interview, guest article, or other published contribution Name and email address, if you submit a comment or contact form enquiry Your responses, if you complete a survey we run (which may be anonymous or attributable depending on the survey) Name and email address, and any dietary, accessibility, or similar information you choose to provide, if you register for an event we run We do not collect special category data (such as health information, political opinions, or ethnicity) except where you voluntarily provide it for a specific purpose (for example, an access requirement for an event), and only with your explicit consent for that purpose. We do not use cookies for tracking or advertising purposes.
3. Why We Collect It and Our Legal Basis
Newsletter and updates: To send you our newsletter, articles, interviews, and campaign updates related to the IWD For All mission. Legal basis: Consent (UK GDPR Article 6(1)(a)). You gave your explicit consent when you signed up. You may withdraw this consent at any time by unsubscribing.
Launch notification: To send you a one-off notification when the full Site launches, if you signed up specifically for this purpose. Legal basis: Consent (UK GDPR Article 6(1)(a)).
Interviews and contributed content: To conduct, edit, and publish interviews, guest articles, and profiles on the Site and associated social channels, including your name, role, photograph, and quoted material. Legal basis: Consent (UK GDPR Article 6(1)(a)). We will confirm what will be published with you before it goes live, and you may withdraw consent for future use at any time, though we may not always be able to remove content already shared or republished by third parties.
Comments and enquiries: To respond to messages sent via our contact form or as comments on the Site. Legal basis: Legitimate interests (UK GDPR Article 6(1)(f)) — responding to enquiries directed to us. You may object at any time.
Surveys: To gather feedback or research responses to inform our editorial and campaign work. Legal basis: Consent (UK GDPR Article 6(1)(a)), given at the point you complete the survey. Where a survey is anonymous, no personal data is collected and this notice does not apply to those responses.
Events: To administer registration, entry, and any follow-up communication for events we host. Legal basis: Consent (UK GDPR Article 6(1)(a)) for registration and communications; Legitimate interests (Article 6(1)(f)) for essential event administration and safety. Any special category data you provide (e.g. access requirements) is processed only with your explicit consent (Article 9(2)(a)).
4. How We Store Your Data
Your data is stored securely using the following tools, depending on purpose: Newsletter and launch notifications: our email marketing platform (currently MailerLite, operated by UAB MailerLite, which is GDPR-compliant), with data held temporarily in Google Forms/Sheets while our mailing list infrastructure is established. Interviews and contributed content: securely within our Google Workspace, accessible only to the core editorial team, until published on the Site. Survey responses: the survey platform used for that survey (details will be provided at the point of collection). Event registrations: the booking or registration platform used for that event (details will be provided at the point of registration). We do not store your personal data on unsecured local devices. Google, MailerLite, and any survey or event platform we use act as data processors on our behalf and are contractually or contractually-equivalently bound to handle your data in accordance with UK GDPR.
5. How Long We Keep Your Data
5.1 Newsletter subscribers: for as long as you remain subscribed. If you unsubscribe, your data will be deleted from our mailing list within 30 days.
5.2 Launch notification only: deleted within 60 days of the launch email being sent, unless you have also subscribed to the ongoing newsletter.
5.3 Interviews and contributed content: published material (name, role, photograph, quotes) is retained as part of the Site's editorial archive for as long as the piece remains published, as this is core to its purpose. Any working files, drafts, or unpublished material are deleted within 12 months of the interview taking place, unless you ask us to remove them sooner.
5.4 Comments and enquiries: retained for up to 12 months, or longer where needed to resolve an ongoing matter.
5.5 Survey responses: retained for up to 24 months following collection, or anonymised sooner where possible, unless a shorter period is stated at the point of collection.
5.6 Event registrations: retained for up to 12 months after the event, to allow for follow-up and record-keeping, then deleted or anonymised.
6. Your Rights Under UK GDPR
You have the following rights in relation to your personal data:
6.1 Right to access — you may request a copy of the data we hold about you Right to rectification — you may ask us to correct inaccurate data
6.2 Right to erasure — you may ask us to delete your data at any time, though for published interviews and articles we will discuss with you what is practicable, particularly where content has already been shared or republished elsewhere
6.3 Right to restrict processing — you may ask us to limit how we use your data Right to data portability — you may ask for your data in a portable format
6.4 Right to object — you may object to processing based on legitimate interests Right to withdraw consent — you may unsubscribe at any time using the link in any email we send you, or by emailing us directly
6.5 Right to complain — you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113 To exercise any of these rights, please contact us at iwdforall@gmail.com. We will respond within one calendar month.
7. Third Party Services
We use the following third-party services to operate this Site. This list will be updated as our survey and event tools are confirmed.

Some of these providers may process data outside the UK/EEA. Where this occurs, we rely on the provider's standard contractual clauses or equivalent safeguards approved under UK GDPR to ensure your data remains protected. We do not sell, rent, or trade your personal data to any third party under any circumstances.
8. Children's Data
This Site is not directed at, or intended for children, and we do not knowingly collect personal data from anyone under the age of 13. If you believe a child has provided us with personal data, please contact us and we will delete it.
9. Changes to This Notice
We may update this Privacy Notice from time to time, including as new features (such as surveys or events) are launched. When we do, we will update the date at the top of this page. We will notify newsletter subscribers of any material changes by email.
